Summer Event Tips

I just returned with my family from #waltdisneyworld.

I often find myself reflecting on what went well/what didn't, so that I can apply it to my craft.

One thing that really stood out to me, was how they approach their summer months and why so many folks enjoy the parks even in the crowds and heat. Below I lay out the top things I believe contribute to the success ( or failure ) of most summer events.

Distraction Whether that is distraction from a long wait time at the bar by having apps served through the line, distraction from the heat by providing frozen mocktail shots, or simply providing gaming cards on the table… simple enhancements to your planning can help how one remembers their experience.

Physical Comfort Always pro-actively consider the physical comfort of your guests. Are there enough areas to get out of the sun? Is there an area for new parents to care for their children? Is water easily accessible? Be sure to think about your past experiences (good and bad) and build from there.

Logistics Smooth and proactive logistics are always one of the most important elements of an event. In the summer months, guests’ time is even more valuable. Have easy solutioning for parking, shared transportation and build your site plan as if you are walking through it as a guest. How would you experience it? Mock timing, possible paths etc.

Staffing Energy is contagious! Hire those who are going to enhance the experience through their personalities. Interactions are the things most praised (and criticized). Spend time talking with your partners about your needs, give a pep talk to staff before the event starts an let them know they are appreciated. Be available.
